Terms of Service
Last updated October 17, 2026
Draft. This document is being reviewed by Rodex’s attorney and may change before Rodex opens to the public.
These terms are an agreement between you and Rodex Systems, Inc. ("Rodex", "we", "us") for using the Rodex app and services. By creating an account or using Rodex, you agree to them and to our Privacy Policy. If you use Rodex for a business, you agree on its behalf and confirm you're allowed to.
1. What Rodex does
Rodex collects your receipts (photos and forwarded emails), matches them to card purchases from banks you connect, and, for businesses, helps track expenses, approvals, mileage and reimbursements and send them to accounting software.
Rodex is a record-keeping tool. It isn't a bank, a payment service, or an accountant, and it doesn't give tax, legal, accounting or financial advice. Rodex doesn't move money: reimbursements are recorded in Rodex but paid by your business its own way. Check with your own advisers before relying on Rodex for taxes or official records.
2. Early access
Rodex is in an early pilot. Features may change, be added or removed, and may sometimes not work as expected. During the pilot Rodex is free. If we start charging, we'll tell you the price in advance and you can choose whether to continue.
3. Your account
- You must be at least 18 and give us accurate information.
- Keep your email account and devices secure: anyone with access to your email can receive your sign-in codes.
- Tell us right away at privacy@rodexsystems.com if you think someone else has used your account.
- One person per account. Business access is by invitation from the business, to an email at its confirmed company domain.
4. Banks, cards and other services
Bank connections are provided by Plaid. By connecting a bank you also agree to Plaid's terms and acknowledge the Plaid End User Privacy Policy. Connecting QuickBooks Online or Xero is subject to Intuit's or Xero's terms. We're not responsible for these services, their availability, or the accuracy of the data they provide.
5. Receipts, AI and accuracy
Rodex uses software, including AI, to read receipts and match them to purchases. It can make mistakes: you're responsible for checking your receipts, categories and expenses before relying on them or sending them to accounting software.
6. Businesses and teams
- A business's owners and admins control its settings, team, cards, approvals and exports, and can see company card purchases and the receipts and expenses submitted to the business. In Rodex Corporate, finance and auditors can also see the company's expenses, and a manager can see their department's.
- Your Personal account stays private from any business, as described in the Privacy Policy. Anything you choose to send a business becomes part of its records.
- The business is responsible for its own expense policies, approvals, reimbursements and tax treatment.
7. Your content
You keep ownership of the receipts, notes and other content you add. You give Rodex permission to store, process and display it, and to share it as described in the Privacy Policy, only to provide and improve the service. You confirm you have the right to add it.
8. Acceptable use
Don't use Rodex to:
- break the law, or submit false or fraudulent receipts or expenses;
- access accounts or data that aren't yours, or try to get around Rodex's security or access rules;
- send spam or harmful files to Rodex addresses, or overload or interfere with the service;
- copy, resell or reverse engineer Rodex, except where the law allows.
9. Ending your use
You can stop using Rodex at any time and ask us to delete your account. We may suspend or close accounts that break these terms or put Rodex or others at risk, and we'll tell you when we reasonably can. We may also end the pilot, with notice and a chance to export your information.
10. Disclaimers
Rodex is provided "as is" and "as available". To the extent the law allows, we disclaim all warranties, including that Rodex will be uninterrupted, error-free, or that receipts and data will be complete or accurate. [Attorney: review.]
11. Limitation of liability
To the extent the law allows, Rodex won't be liable for indirect, incidental, special, consequential or punitive damages, or for lost profits, data or records, and our total liability for any claim is limited to the greater of the amount you paid us in the 12 months before the claim or $[100]. [Attorney: review.]
12. Disputes and governing law
These terms are governed by the laws of [state], without regard to its conflict-of-law rules. [Attorney: decide on courts or arbitration, and any class-action waiver.]
13. Changes to these terms
We may update these terms. We'll change the date at the top and, for significant changes, tell you in the app or by email before they take effect. If you keep using Rodex after that, the new terms apply.
